OTHER SKILLS AND ABILITIES: Computer experience in word-processing. Job Description: ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. A. Maintains current knowledge and understanding of regulations in the Code of Federal Regulations, American Red Cross Blood Services Directives, local operating procedures and other applicable federal, state and local laws appropriate for job functions. 1. All job duties must be performed in compliance with these standards and adherence to all safety, confidentiality and security policies. 2. All tasks are performed in accordance with Blood Services Directives, Code of Federal Regulations, and local operating procedures as well as other applicable federal, state and local laws and that departmental activities are performed in compliance with these standards. B. Works with hospital and blood center personnel in taking requests for blood products and filling blood product orders. 1. Requests for blood and blood products are accurately and promptly posted through the NBCS System (or manually). 2. Performs irradiation of blood products according to Standard Operating Procedures. 3. Orders are packed and filled in a timely manner in accordance with Standard Operating procedures. 4. Products released from the laboratory or imported are inventoried and placed in the proper order in the appropriate storage units. 5. Returned products are verified against the appropriate paperwork for accuracy, moved electronically to the proper location in the NBCS, physically placed in the appropriate location, and released or discarded appropriately. 6. Maintains, receives, and distributes supplies, reagents, and derivative products to customers in accordance with Standard Operating Procedures. 7. Performs, rotates, and balances inventory of all products at the blood center and, as necessary, in the hospitals. 8. Performs preventive maintenance and quality control for the equipment in the department or quality control as needed or assigned. 9. Central Alarm System is monitored and readings taken as stated in procedures as well as alarm conditions of units are documented and appropriate actions taken. 10. Manages retrieval of products in-house and consignees for NAT testing issues and post donation callbacks in accordance with BSDs and local operating. 11. Packs products for further fractionation for shipment according to procedures. C. Maintains computerized and manual records in accurate, legible, neat, and complete manner. 1. Completes all records, logs, and forms as the work is performed and in an accurate and legible manner 2. Performs computerized data entry as required in local operating procedures. 3. Completes all records regarding orders, customer problems, changes, special instructions, and preventive maintenance and handles them in accordance with procedures. 4. Keys data from manual records in the computer accurately and efficiently as assigned. 5. Maintains detailed records of corrective action, billing problems or exceptions, submits these to the appropriate department or supervisor for follow-up. 6. Enter transfer data into computer, verifies accuracy of product tracking, and ensures records are complete and accurate. D. Makes product deliveries, pick-ups, and delivery arrangement as assigned and/or necessary. 1. Contacts appropriate courier services when appropriate to ensure consistent, timely and appropriate delivery of routine, special or emergency deliveries. 2. Calls hospitals as appropriate to arrange for transfer of products in critical or emergency situations, or to meet the product rotational time limits to reduce outdating and availability. 3. Ensures that delivery runs to hospitals depart on time and with the proper load for the run, deliveries are made according to the prescribed schedule, and returns or boxes are picked up and returned to the blood center. 4. Deliveries to airports or hospitals are completed in a timely and safe manner. 5. Calls are made to on-call driving staff to provide emergency or special delivery requests. E. Answers phone, receives and fills blood, relays necessary messages and information. 1. Calls are answered in a knowledgeable, friendly, and professional manner. 2. Refers calls for special information or problems to appropriate personnel when necessary. 3. Notifies or consults with the appropriate on-call or supervisory personnel in the event of special or unusual orders. 4. Provides information and support to customers in a matter consistent with the Red Cross mission, good customer service, and instilling confidence and trust in the Red Cross. F. Communicates with peers, supervisors, and other staff. 1. Works with Special Donations Coordinator and laboratory personnel to assure that special products are shipped to the proper consignee 2. Communicates with other staff verbally and/or in writing regarding incomplete orders, or tasks. 3. Relays needs of the department as it pertains to supplies, forms, equipment, labels, ect., to the appropriate personnel in a prompt and efficient manner 4. Reports incidents of non-compliance, errors, and accidents immediately and accurately. 5. Recognizes, resolves or refers discrepant results to the appropriate personnel. 6. Accepts direction from supervisory in a supportive, courteous and professional manner. 7. Relates to other staff members from other departments in a friendly and cooperative manner. 8. Relays appropriate information regarding departmental activities to supervisor and other staff at shift change to ensure all activities, assignments, and orders are completed G. Performs additional duties assigned 1. Participates in the on-call duties of the Product Management Department and notifies the appropriate Personnel when page contact will be necessary. 2. Attends and participates in training courses as determined necessary to perform the duties listed above and to maintain certification in performing these duties. 3. Accepts assignments to special projects within range of the qualifications required by the position and for the benefit of the organization. 4. Provides assistance within the range of qualifications required by the position to other departments within blood services.
